This guide will provide you with instructions on how to set up your device for the first-time, within Windows Autopilot.
Before you begin
- You will need your new device, along with an AC power adapter / charger.
- You will need either be connected to the University wired network or have access to a Wi-Fi Internet connection (either at home or Eduroam).
- You will need a valid University of Derby account.
Important notes
Please also ensure that you have plugged in your device and connected to power before continuing with the setup steps.
Please do not leave your device unattended during the provisioning steps, as your input is required at the beginning and at the end of the setup process. You may need to enter your university username and password multiple times during this setup process (ensuring you include @derby.ac.uk after your staff number), as well as MFA prompts.
It may take some time to complete the setup process, so it is important that you allocate at least one hour to complete all the stages of the provisioning process, though this can vary dependant on your device. You should not roam / move your device during the setup, and it must remain plugged in and always connected to power.
Setup Steps
Step 1. Ensure your device is connected to power and turn it on. Allow the system to boot for a few moments.
Step 2. You will be presented with the language and region selection screen. On this screen, select United Kingdom as your Country/Region, Preferred app language and Keyboard layout.
Step 3. You will be asked to confirm this - ensure that United Kingdom is selected, and then click "Yes".
If you set language to anything other than UK English, we may not be able to provide you with technical support in an event that there may be a problem with the device due to the use of a foreign language.
Step 4. Next, you will need to ensure your device is connected to the internet.
If you had not connected to the wired University network (which is preferred when setting up your device on-site), you will be instead prompted to connect to Wi-Fi.
Select the correct Wi-Fi connection here, for example your home network connection and enter your Wi-Fi password.
If you are connecting to Wi-Fi via Eduroam on-site, include ‘@derby.ac.uk’ after your staff number. For example: 781234@derby.ac.uk
Note: Your device may start Windows update and reboot after you have connected to the Wi-Fi - this behaviour is by design.
Step 5. After your device completes updates and possibly restarts, you will be presented with the Welcome to University of Derby setup screen.
You should see your name appear on this screen and your email address should be pre-populated. You will be asked to enter your university account password.
If your name/email does not appear, you will instead be promoted to enter your University of Derby email. You should enter your staff ID followed by @derby.ac.uk. - for example: 781234@derby.ac.uk. You will also need to enter your password during this step.
IMPORTANT: ONLY ENTER A UNIVERSITY EMAIL ADDRESS - ENTERING A PERSONAL MICROSOFT ACCOUNT WILL CAUSE THE PROCESS TO FAIL
Step 6. After you have submitted your credentials, you may be required to satisfy a multi-factor authentication (MFA) request. Approve a login request notification or enter verification code from your authorised MFA device.
Step 7. After successful authentication, your device will begin to provision.
Please wait for the device to finishing provisioning. During this step, the device may restart and could take some time. You should not roam / move your device whilst this completes, and must remain plugged in.
This process comprises of three stages:

Device preparation (occurs automatically)
At this stage, the device establishes connection with our Mobile Device Management (MDM) service to join the device to our organisation, register for management and prepares the system to receive management settings.

Device setup (occurs automatically)
At this stage, it applies security policies, certificates, and installs all the necessary software applications to your device.
Note: Your device may restart multiple times during this phase - this is by design and expected behaviour.

Account setup (manual input required)
At this stage, the device is ready to accept your login credentials to create your account on the system. You will need to enter your full 30XXXX@derby.ac.uk into the username field, NOT just the staff number on its own (otherwise credentials will not be recognised).
After entering your details, some additional policies, certificates, configurations, and applications may continue to be applied to your device, so please wait a few moments.
Step 8. After the device has restarted from the "Device setup" stage, you will be presented with our University Lock Screen, click or swipe up to unlock the device, and trigger the login screen:
Note: Whilst it may appear your device is ready once you get to this screen, there are still additional configurations which will apply after you login.
Enter your username and password to login. You will need to enter your full 30XXXX@derby.ac.uk into the username field, NOT just the staff number on its own (otherwise credentials will not be recognised).
After brief preparation of your user account, you may be requested to complete any Multi-Factor Authentication (MFA) requests if required. Once you have completed this, the "Account setup" of device provisioning will continue.
Step 9. Once completed, the system will automatically login your user account and allow you to begin using the device.
At this step, this set up of your device is now complete.
Please be aware that some app such as Office 365 e.g. Word, PowerPoint and other will be installed in the background.
NOTE: Some additional background tasks may occur after your initial login, such as OneDrive setup, file and setting synchronisation, etc. so please remain patient with the system while these activities take place as the device may appear less responsive initially. Once these background activities have ceased, the system will return to its normal performance.
Additional steps may be required, dependent on your requirements (such as access to Eduroam, software installs, network drives and access to printing).
